🚪Getting startedSigning in, the home screen, getting around

Sign in

  1. Open the portal and enter your department email and password, then tap Sign In.
  2. The first time you sign in, you'll be asked to set your own password before you can continue.

Find your way around

  1. The home screen shows a tile for each tool you have access to. Tap a tile to open it.
  2. Tap on any screen to return to the portal home.
  3. Tap ? in any top bar to open this Help page.
  4. On the home screen, opens your inbox; a badge shows unread messages.
Don't see a tool you need? Your access is set per person — ask your supervisor or the portal admin to turn it on.
Install it like an app: in your browser menu choose Add to Home Screen. The portal updates itself; if a screen looks stale, close and reopen it.
🚒Hydrants — maintenance & flushingMap, schedule, logging, routing, distribution

The top of the app has five sections: Dashboard Map Hydrants Plan Maintenance.

Find a hydrant

  1. Open Hydrants and search by ID or address, or open Map and tap a marker.
  2. Tap any hydrant to open its Detail screen — status, location, and full history.

Log work on a hydrant

  1. Open the hydrant's Detail screen.
  2. Add a maintenance entry and choose the type — flush, paint, lubricate, or flow test.
  3. Set the date and add notes (for a flow test, enter the PSI), then save.
  4. If the hydrant has no coordinates yet, add them here so it can appear on maps and routes.

Work the Plan (your due list)

  1. Open Plan. It opens already filtered to your station and your shift and lists everything Due or Overdue.
  2. To see other areas, change the Scope (district) or Shift filters at the top.
  3. Tap any row to jump to that hydrant.

Route a flushing run to Google Maps

  1. In the Plan list, tick the checkbox on each hydrant you're taking today.
  2. The bar at the bottom shows how many you've picked and the rough mileage.
  3. Tap Route in Maps. The stops are ordered for the shortest drive and Google Maps opens starting from your current location.
  4. A instead of a checkbox means that hydrant has no GPS yet — open its Detail to add coordinates and it becomes selectable.
A long selection is split into legs (Google Maps limits stops per link). Open them in order — each leg picks up where the last ended.

Run Distribution

This re-balances every hydrant across the three shifts. It's a restricted action — if you don't see the button, you don't have that permission.

Public dashboard

Live flushing counts and a recent-activity map are at /stats/ for showing outside the portal.

Daily CheckRun and record apparatus checks
  1. Open Daily Check and Choose an Engine — the apparatus you're checking.
  2. Work down the checklist, marking each item and noting anything that isn't right.
  3. Tap Save Draft to finish later, or Submit Check when you're done.
  4. Anything you flag as a problem can be turned into a repair request for follow-up.
🧰Equipment & PPEGear, inventory, expirations

Sections: Inventory Personnel Gear Apparatus Expiring Soon.

  1. Personnel Gear — see gear assigned to people. Most members see their own; some roles see everyone's.
  2. Inventory — browse equipment and containers; tap an item for its Detail.
  3. Expiring Soon — items with upcoming expiration dates so nothing lapses.
Adding or editing equipment needs the equipment-edit permission.
🔎InspectionsBusinesses & fire inspections
  1. Search the county business list, or tap New Business to add one (address and occupancy details).
  2. Open a business and start an inspection; use New Occupancy / C.O. when needed.
  3. Record each finding with Add Violation, then Save & Continue through the steps.
  4. Everything is saved against the business so it's there for the next visit.
🛠️Repair RequestsReport & track problems
  1. Tap New Repair Request, describe the problem and where it is, then Submit Request.
  2. Use the All / Unread tabs to filter the list; open a request to see its status and history.
  3. If you handle repairs, update progress with Save Status as work moves along.
📋RosterWho's working, call-ins, cover
  1. See who's working by shift and station.
  2. Use Log Call-In to record a call-in against an open position.
  3. Use + Add someone as Cover to fill a slot.
🕒TimekeepingTimesheet, leave, overtime

Three areas: Timesheet Leave OT.

Timesheet

  1. Review your hours for the pay period.
  2. Save Draft as you go, then Submit for Approval once the period is complete.

Leave

  1. Submit a leave request with the dates and type.
  2. Track its approval status from the same screen.

Overtime

View the OT schedule and sign up where it's offered.

Supervisors: submitted timesheets and requests show up in your queue with an Approve action.
🎓TrainingDrills, lessons, hours, calendar

Sections: Drills & Training Lesson Plans My Training Hours Training Calendar.

  1. Record drills and hours under Drills & Training and My Training Hours.
  2. Read Lesson Plans (editing them is limited to the Training Chief role).
  3. Check the Training Calendar for what's scheduled.
  4. To request training, use My Career → Training Requests; it routes up your supervisor chain for approval.
📜My CareerCertifications & your requests

Sections: Certifications Training Requests Leave Requests My Firefighters.

  1. Certifications — track your certs and their individual components to see what's complete and what's outstanding.
  2. Training Requests / Leave Requests — submit your own; if you're a supervisor, review your team's requests here.
  3. My Firefighters — your direct reports, for supervisors.
📖SOP / SOGPolicies & guidelines
  1. Open SOP/SOG to read the department's standard operating procedures and guidelines in the portal.
  2. Members with edit rights can use + Add Entry to add a document.
Special TeamsHazMat, GSAR and more

View the rosters for special teams such as HazMat and Ground Search & Rescue, see who is on each team, and who leads it.

✉️MessagesPortal inbox
  1. The inbox on the home header holds portal notices and messages sent to you.
  2. A badge shows your unread count; open a message to read it.
🔐Permissions & accessWhy you see what you see

What you can see and do is controlled per person. If a tile, tab, or button is missing, that's a permissions setting rather than a bug — contact your supervisor or the portal admin to have it adjusted.

⚠️Trouble signing in or something looks offQuick fixes
  1. Refresh the screen first — most display glitches clear on reload.
  2. Locked out or forgot your password? The portal admin can reset it.
  3. Still stuck? Contact the admin with what you were doing and what you saw.
